You will be part of the HR team, working closely with People, Workplace and leadership stakeholders. This role combines operational ownership, workplace experience and event management, with strong exposure and support within a structured and international HR organization.
- 5+ years of experience in workplace, facilities, operations, event management or similar roles
- Strong organizational skills and the ability to manage complexity with method and rigor
Solid analytical mindset, with the ability to read, understand and evaluate information with sound judgment
Experience in managing vendors, contracts and basic contractual documentation
Professional standing and confidence in interacting with senior stakeholders and external partners
Clear and effective communication skills, with the ability to produce well-structured written communications (emails, documentation) and deliver clear, concise presentations to different stakeholders
Ability to balance operational execution and coordination activities (events, services, logistics)
High level of autonomy, reliability, and sense of responsibility
Smart, pragmatic, and solution-oriented mindset
Excellent command of English and Italian (written and spoken)
Availability to work on-site (approx. 20- 40% per week) across OverIT Italian offices: Milan, Rome, Fiume Veneto, and Udine
What you’ll do
Own and manage workplace and facilities operations across OverIT sites in Italy, coordinating activities also with international offices in the UK and the US
Ensure a regular on-site presence in one of the Italian offices, based on operational needs
Act as the primary point of contact for all day-to-day workplace and facilities matters across sites
Own and manage workplace- and site-related budgets, ensuring accurate cost tracking, invoice validation, and financial control of operational expenses
Manage relationships with external vendors and service providers, including scouting and assessment of new partners, contract negotiations and renewals, service performance monitoring, and effective stakeholder management
Plan, lead, and execute internal events and initiatives (recurring and company-wide), ensuring high quality, organization, and impact on engagement
Partner closely with the HR team to support onboarding and employee experience from a workplace perspective
Ensure offices operate smoothly daily, proactively identifying issues and driving solutions
Track site-related costs, invoices, and operational expenses with accuracy
Ensure compliance with health, safety, and workplace standards
Continuously improve workplace processes through structured analysis and practical, effective solutions
