DHL Industrial Projects (IP) is part of DHL Global Forwarding (DGF) Integrated Solutions specialized in handling project logistics, such as single move or ad-hoc shipments, capital projects and maintenance, repair, and operations (MRO) including global multi-supplier management, from pick-up through consolidation and delivery to fabrication facilities and final project jobsites. Job Purpose
Develop and administer operations plans and processes to deliver a smooth supply chain and operational model for the targeted business volumes, meet products/services standards and exceed quality standards in line with business strategy and objectives, corporate guidelines and policies. Monitoring assigned global oceangoing vessels and voyages from fixing notice via planning and execution phase until voyage closure.
Principal accountabilities
Responsibilities
- Coordinate with internal teams and external partners following established best practices.
- Assist in ensuring smooth vessel operations during port calls.
- Supervise execution of voyage plans to meet customer, service, quality and financial objectives.
- Keep customers updated on basic operational matters and support commercial communication together with the Chartering Department and Opportunity Owner.
Planning & Coordination
- Assist with daily planning and coordination of voyages, load and discharge operations, and basic stowage planning activities.
- Monitor itineraries, port congestion and other factors affecting voyages, escalating issues when needed.
Operational Execution
- Prepare and send basic vessel and handling instructions in line with applicable terms & conditions and in coordination with engineering and chartering colleagues.
- Support load and discharge coordination with the Carrier’s vessel operator.
- Assist with commercial coordination tasks such as sharing updates, forwarding notices, and maintaining communication.
- Updating in-house voyage management system.
Documentation
- Support handling of key documents including reviewing NOR, SOF, mate´s receipts manifest, B/L.
- Verifying sea freight invoices, demurrage and/or detention calculations.
Compliance & Claims
- Notify and coordinate with P&I Club under supervision, support legal coordination in case of claims.
- Follow relevant policies and contribute to compliance with safety, health, security, environment & quality regulations.
Continuous Improvement
- Collect and review productivity data; support analysis to identify opportunities for operational improvements.
Team Support
- Provide proactive support to colleagues and seek guidance when handling new or unfamiliar issues.
- Escalate complex operational matters to senior team members or management.
Knowledge And Skills
- Strong understanding of Industrial Projects / New Energy market dynamics.
- Experience with carrier terms and basic contractual frameworks.
- Advanced Microsoft Excel proficiency.
- Ability to interpret and analyze complex operational and commercial data.
- Knowledge across shipping and project logistics topics: transportation, loading, operations management, inventory, risk management, process improvement, reporting.
- Provide technical guidance to line managers and operational teams.
- Manage projects and processes independently with limited supervision.
- Handle difficult and occasionally complex operational problems with sound judgment.
- Strong skills in project management, stakeholder management, customer service, and continuous improvement.
- Excellent presentation, storytelling, and feedback skills.
- Strong influencing and collaboration skills.
- Must be fluent in English (written and spoken).
- Mandarin skills are an advantage.
Qualifications and Experience
Bachelor’s Degree or equivalent experience/qualification
- 3 years of experience in a similar role, Carrier background preferred.
