We are looking for a Technology Capacity Planning & Portfolio Governance Specialist to ensure the optimal allocation, forecasting, and utilization of technical teams across our Technology project portfolio.

This role sits within the Technology function and focuses primarily on capacity planning, demand vs supply balancing, and workforce optimization across multiple initiatives.

You will act as a strategic partner to Demand, Tech Leaders, Delivery, and Quality Assurance teams, ensuring that project demand is aligned with available capacity and future resource needs.

The focus is on governance, forecasting, data accuracy, and capacity management rather than managing individual project schedules or deliveries.


Key Responsibilities :


Capacity Planning & Resource Forecasting


  • Analyze the Technology project pipeline to forecast resource needs in the short, medium, and long term.
  • Collaborate with Tech Leaders to align capacity planning with the Technology roadmap.
  • Educate Demand and Project Managers on effective resource planning and capacity-aware requests.
  • Monitor team utilization rates to prevent over- or under-allocation.
  • Identify potential capacity gaps or bottlenecks early and propose mitigation actions (e.g. reprioritization, reallocation).
  • Resolve resource conflicts between competing initiatives.
  • Maintain and continuously update a Skills Matrix to enable rapid identification of subject matter experts.
  • Produce analytical reports, dashboards, spreadsheets, and charts to support capacity and portfolio decision-making.


Technology Portfolio Governance



  • Act as the strategic bridge between demand (projects and initiatives) and supply (Delivery and QA teams).
  • Ensure data integrity and reliability in PPM tools (e.g. Jira) related to project timelines, priorities, and criticalities.
  • Enforce standard processes for portfolio, capacity, and resource data tracking.
  • Ensure consistency and governance across the Technology project portfolio.
  • Produce analytical reports, dashboards, spreadsheets, and charts on Project Portfolio status and planning.




WE WILL VIBE WITH YOU


  • 2–3 years of experience in capacity planning, resource management, or portfolio governance roles, preferably within a Technology or IT department.
  • Degree in Management Engineering or Economics.
  • Solid knowledge of IT standards, processes, and delivery models.
  • Experience with IT Governance preferably in consultancy firms or medium/large organizations within Fintech, Energy, or Telco sectors.
  • Strong proficiency in MS Excel and PowerPoint; experience with Atlassian tools (Jira, Confluence) is required; Power BI is a plus.
  • Proven ability to work with data, forecasts, utilization metrics, and capacity models.
  • Self-starter with the ability to gather time-sensitive information from multiple stakeholders.
  • Strong analytical mindset, attention to detail, sense of urgency, and execution capability.
  • Excellent written and verbal communication skills.
  • Understanding of both Waterfall and Agile/Scrum environments and how capacity is managed in each.
  • Ability to work within structured governance processes to resolve cross-team issues.
  • Strong motivation to contribute to the success of the Technology Department and the company’s Digital & Transformation Programs.
  • Italian (native).
  • English (professional proficiency – written and spoken).
