Position Summary

The Student Coordinator position is part of the Atlantis team and allows you to have the unique opportunity to contribute to the continued success of Atlantis’s mission while also working within the broader CEA CAPA community.

The Student Coordinator is the driving force behind our programs, ensuring seamless in-country implementation of program activities and exceptional student experience. They manage dailylogistics, swiftly address any safety concerns, and empower students to fully embrace their experience.

This position is a seasonal, full-time, contract position with a pre-established start and end date. It is required that candidatesareable toattend a4-dayonline training, plus a13-dayin-person training inItalyprior to the program start date (dates below).

Responsibilities

The job duties listed below are not all inclusive of what the employee maybe responsible for. Other duties may be assigned as needed:

  • Complete required online and in-person training inItaly(Online dates:7th - 10th April, In person dates:13th-25th April)
  • Collaborate with the Senior Operations Team to review program details andlogistics.
  • Coordinate with hospital, housing, meal, and excursion providers toorganize &finalizearrangementsof your programs
  • Participate inpreparationcalls and ensure all necessary communications are sent to students and partners.
  • Prepare and distribute welcome materials to students.

During Program:

  • Lead in-country orientation for students and ensure smooth logistical operations, including organizing, and coordinating transportation, excursions,meals, hospitalshadowingrotationsand accommodations.
  • Oversee program budgets and manage on-site funds, payments, and receipts.
  • Accompany the grouptoall planned activities and serve ina 24/7 on-call capacity, managing emergency protocols if necessary.
  • Engage with students to enhance their shadowing experience and share insightsonlocal healthcare and cultural contexts, whilstmaintaininga positive and flexible environment for program participants
  • Provide daily updates to the Senior Operations Team andmaintainclear communication with students, hospitals, and partners.
  • Document program activities through photos and videos to share with the Senior Operations Team.
  • Complete offboarding tasks, including expense reporting and financial reconciliation.
  • Collect andsubmitfeedback forms based on program experience and your interactions at Atlantis.
  • Ensureall records, including key contacts and program details, are updated in the database.

Qualifications

  • Attained aBachelor’sdegree or higher
  • Proficiencyin English andItalian, with strong written and verbal communication skills.
  • Proven ability to manage and coordinate groups, particularly in international settings(preferably working with our target group)
  • Experience working with college students and faculty, ideally in education abroad or related environments.
  • Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
  • Excellent interpersonal and community development skills, with the ability to build relationships across cultures.
  • Demonstrated ability to handle crisis management situations with poise, professionalism, and effective problem-solving.
  • Ability torepresentAtlantis with enthusiasm, integrity, and professionalism, upholding the organization’s mission and values.
  • Possesses strong judgment, withexcellent negotiationand decision-making skills, with experience in policy enforcement and conflict resolution.
  • Previousinternational study, internship, work, or volunteer experience is a plus.
  • Collaborative team player who is visible, accessible, and supportive of students throughout the program.
  • Flexibility to travel/temporarilyrelocateat late notice should it berequired

Required Working Availability

This is a full-time position, as standard is Monday to Friday. However, we will require candidates to have flexibility in working hours and days, and some weekend work will berequired.

Employment Terms

Programs run from May to August2026. The City Manager will also take part in a 4 day online, and 13-day Project Planning Course that will take place in mid-April inItaly. The position isa contractorposition.
