Position Overview:

  • Assist in the successful execution of PR activities and events by providing efficient logistical support.
  • Maintain high organizational standards for the showroom and inventory management, ensuring that samples and press materials are always available and in excellent condition.
  • Support cross-functional teams to meet business objectives and deliver seamless execution of events and operational tasks.
  • Ensure Health & Safety (H&S) compliance in accordance with local regulations and company standards in Milan, maintaining a safe working environment for employees and visitors.
  • Act as the primary point of contact for office management matters, ensuring all safety equipment (e.g., CCTV systems, fire extinguishers, emergency signage, first aid materials) is compliant, regularly maintained, and fully operational.
  • Report employee attendance and related administrative data accurately and in a timely manner to HR on weekly basis.


Key Responsibilities:

  • Delivery & Inventory Management: Assist in handling deliveries, including receiving, organizing, and distributing merchandise to ensure smooth operations.
  • Showroom Management: Support the management of the showroom by ensuring all samples are displayed effectively, maintained in pristine condition, and kept organized.
  • Press Samples Coordination: Assist in the coordination of press sample loans by tracking inventory, fulfilling media requests, and managing returns to ensure timely and accurate distribution.
  • Event Logistics Support: Provide logistical support for events and activations in Milan, including setting up venues, coordinating vendors, and offering onsite assistance during events to ensure smooth operations.
  • Collaboration: Work closely with cross-functional teams, including PR, marketing, and sales, to ensure that operations, events, and initiatives align with the company’s goals.
  • Ad-Hoc Project Support: Assist with various ad-hoc projects and tasks as assigned to support the overall objectives of the team and business.
  • Health & Safety Management: Oversee and coordinate all Health & Safety activities in line with local standards and company policies, including organizing mandatory trainings for employees (e.g., fire safety, first aid, workplace safety) and maintaining proper documentation and certifications
  • Vendor & Supplier Management: Liaise with external vendors and suppliers related to office services, maintenance, safety equipment, and facility management to ensure service quality, compliance, and cost efficiency
  • HR Coordination (Dotted Line): Maintain a dotted-line reporting relationship to HR for all H&S matters, employee attendance reporting, onboarding support (e.g., workplace safety briefings), and compliance documentation.
  • Facilities & Office Oversight: Proactively monitor office infrastructure and materials to ensure operational continuity, including emergency equipment checks, maintenance scheduling, workplace inspections, and coordination of repairs when necessary
  • Compliance & Documentation: Maintain accurate records of H&S measures, training attendance, supplier contracts, inspection reports, and regulatory documentation to ensure audit readiness at all times.


Requirements

  • Education: Currently enrolled in a Bachelor's or Master’s degree program, preferably in Business Administration, Fashion Management, Event Management, or a related field.
  • Languages: Fluency in Italian and English is required; knowledge of additional languages is a plus.

Skills & Experience:

  • Excellent organizational skills with a high attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong communication and interpersonal skills to collaborate effectively with colleagues, external partners, and vendors.
  • Proactive attitude with the ability to take initiative and willingness to learn and grow professionally.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with event management software/tools is a plus.
