Role Description

  • Overall coordination and management of Office Services across Bain Italy (Milan and Rome)
  • Oversight of office operations, including facilities management and maintenance activities, with responsibility for the related budget
  • Management and coordination of external vendors and service providers (cleaning, maintenance, utilities, security, catering, etc.)
  • Supervision of front desk and reception services
  • Full responsibility for the on-site canteen service in the Milan office (vendor management, service quality, cost control, compliance)
  • Support to Safety & Security activities, ensuring compliance with Bain standards, local regulations, and emergency procedures
  • Close collaboration with Italy Office leadership, HR, and Finance to ensure smooth day-to-day operations and continuous improvement of office services



Qualifications

·         6+ years of experience in Office Management, Facilities Management, Workplace Services, or similar

operational roles

·         Proven experience in managing external vendors and service providers, including contract

negotiation and performance monitoring

·         Solid experience in budget management and cost control

·         Knowledge of health & safety regulations and compliance standards; experience supporting safety &

security activities is a plus

·         Strong organizational and problem-solving skills, with a proactive and hands-on approach

·         Ability to manage multiple priorities across different locations (multi-site experience is a plus)

·         Strong stakeholder management skills and ability to collaborate effectively with senior leadership,

HR, and Finance

·         Fluency in Italian and English

·         Proficiency in MS Office;

·         Master’s degree required
