The Role
This role sits at the core of our commercial operations, working closely with Sales and Account Managers to ensure deals move efficiently, accurately, and with the right level of attention to detail. It supports our Sales and Account Management team by owning the operational, analytical, and back-office side of the sales process , with a strong focus on venue coordination, offer analysis, and deal preparation.
It requires autonomy, precision, and ownership . You’ll manage complex information flows, keep deals moving, and ensure Sales and Account Managers can focus on relationship-building and closing—while you ensure quality, accuracy, and speed behind the scenes.
This role is ideal for someone who enjoys structure, problem-solving, and coordination, and who takes pride in enabling high-quality commercial outcomes.
Key Responsibilities
Venue Outreach & Coordination
- Maintain accurate data entry and pipeline tracking in CRM (HubSpot or similar)
- Actively test new internal data tools and CRM integrations, ensuring they meet the team’s needs before full rollout
- Build and maintain reports, dashboards, and trackers using Excel / Google Sheets
- Support sales forecasting and performance monitoring through structured data analysis
- Ensure consistency, accuracy, and reliability across sales and partnerships data
Venue Outreach & Coordination
- Support venue outreach and onboarding, including preparing and updating venue showcases
- Manage ongoing communication with venues via email and phone, proactively following up when information is missing or unclear
- Track details carefully and re-engage venues when responses are incomplete, delayed, or time-sensitive
Offer Review & Cost Projectors
- Review and analyse venue offers, including those in different languages or currencies
- Build and maintain accurate cost projectors , ensuring all variables and assumptions are correctly reflected
- Flag inconsistencies, missing information, or potential risks early in the process
Deal Enablement & Process Support
- Support Sales and Account Managers during the high back-and-forth phase with venues and offer reviews
- Support may extend to end-to-end ownership of smaller deals
- Handle CRM updates, internal documentation, and reporting related to active deals
- Support internal sales-side tool and app testing , helping improve workflows and usability
- Contribute to continuous improvement of sales processes, templates, and internal tools
Who This Role Is For
- You’re detail-oriented but pragmatic , able to manage complexity without slowing things down
- Ideally, you have 2+ years of hands‑on experience in hospitality, MICE, events, tourism, or venue-based businesses , and understand the pace and dynamics of this environment
- You can work independently, prioritise tasks, and follow up persistently
- You’re comfortable communicating with partners across countries, cultures, and languages
- You enjoy supporting sales and commercial teams without necessarily being the one closing deals
- You care about accuracy, clarity, and doing things properly, even under time pressure
What This Role Is Not
- Not a pure administrative role
- Not a senior sales closer position
- Not a narrowly defined job with rigid boundaries
This is a hands‑on, enabling role that directly impacts deal speed, quality, and client experience. We value people who take responsibility and step in where support is needed.
Tools & Skills
- Solid working knowledge of Excel / Google Sheets (formulas, trackers, structured data handling)
- Experience using a CRM system (HubSpot preferred; Salesforce or similar acceptable)
- Comfortable producing and interpreting basic sales and operational reports
- Resourceful with AI tools (e.g. ChatGPT, Gemini, or similar) for writing support, data structuring, summaries, translations, and analysis
- Able to critically review AI-generated outputs and improve them when needed
- Not expected to be an expert in every tool, but curious, proactive, and able to figure things out independently

- Fixed‑term contract , starting from €28,000 gross per year (depending on experience), with the goal of transitioning to a permanent contract following the initial term.
