SALES OPERATIONS ASSISTANT
Tenuta Toscana, nestled in the heart of the Tuscan countryside, is seeking a Sales Operations Assistant to support the Sales Team in ensuring smooth, efficient, and high-touch interactions with prospects and members. This role combines administrative support, logistical coordination, and interdepartmental collaboration in a luxury environment.
The Sales Operations Assistant will be responsible for managing the daily functions of the sales office, coordinating real estate tours and guest visits, updating CRM data, assisting in event preparation, and ensuring a consistent standard of excellence in every operational and service detail.
Main duties and responsibilities
- Maintain the sales office in a clean, organized, and guest-ready condition
- Coordinate logistics for property tours and prospect/member visits
- Assist in preparing and staging sales models and available homes for tours
- Manage inventory and distribution of sales collateral
- Collaborate with internal teams (hospitality, concierge, golf, development) and external vendors to deliver seamless guest experiences
- Maintain accurate records in the CRM system, including contact details, visit history, follow-ups, and sales pipeline updates
- Support preparation of reports, forecasts, and summaries related to sales activity
- Respond professionally and promptly to inquiries from prospects, members, agents, and internal staff
- Provide general administrative support to the Sales Team
- Ensure vehicles, signage, and sales tools are properly maintained and tour routes are clearly marked and functional
- Support CRM updates and documentation
Requirements
- High school diploma or equivalent. College degree in hospitality, communications/marketing, or public relations preferred.
- Previous experience in administrative support, hospitality, customer service, or sales operations.
- Must have an outgoing & well-spoken personality be able to clearly interact verbally with members and guests.
- Must be responsible, dependable, outgoing and friendly, as well as patient and courteous with members/guests and other co-workers.
- Experience with Word, Excel, Publisher, Power Point, Email, and a willingness to learn new computer programs that the Club utilizes.
- Fluency in English is required; additional languages are a plus.

This position is based in Tuscany. Availability of staff accommodation upon request. Candidates should have a flexible schedule with the ability to work all shifts, weekends and holidays. You must possess the legal right to work in Italy.
