Receptionist and Team Assistant (Maternity Leave Replacement)

Starting: February 2026

This role would suit a highly motivated individual who thrives working in a fast-paced working environment, is super organized and possesses excellent attention to detail in providing a high-level support function.


This multifacted role will involve:


  • Being a point of reference for front office activities, managing phone, email contact and correspondence with suppliers and other external stakeholders
  • Assisting in the co-ordination, booking and preparation of meeting rooms
  • Meeting and greeting guests
  • Maintaining a tidy, clean and efficient office, helping to ensure it runs smoothly and effectively at all times
  • Extensive diary management and co-ordination of internal and external meetings (both virtually and in-person) across multiple time zones
  • Booking international travel, including flights, train tickets, hotels and cars
  • Organizing and purchasing office stationery and supplies
  • Supporting the team on daily tasks (post office, couriers etc.)
  • Collecting employees’ receipts, check them accurately and follow up/monitor employees to ensure that receipts are delivered on time
  • Maintaining financial files and records in an organized way
  • Compiling documents and presentations

  • Desire to learn about the organization and team
  • Willingness to work in a close-knit team, assisting and supporting the other assistants when needed
  • Quick learner, ability to multi-task and use own initiative, self-motivated and problem solverIT skills: Advanced Word, Excel, Outlook and PowerPoin
  • 1+ years Admin, PA or Office management experience
  • Fluent in English
