About the Opportunity

PEOITALY is recruiting on behalf of a leading international company operating in the engineering and construction sector for the role of Project Planning Coordinator .

The selected candidate will be responsible for the planning, monitoring, and control of project schedules , ensuring that project milestones, deliverables, and contractual commitments are met. This role plays a key part in supporting project management through accurate planning, reporting, and coordination of project control activities.


Key Responsibilities

  • Analyze project offers from a planning perspective , identifying potential risks and opportunities and reporting them to the relevant project leadership.
  • Develop the project or proposal schedule in accordance with company procedures, using available bidding documentation when complete information is not yet available.
  • Manage and coordinate planning and control activities for assigned projects or proposals, including progress reporting and support for payment requests.
  • Define the Work Breakdown Structure (WBS) and prepare the Detailed Project Schedule until approval is obtained from the client (baseline schedule), ensuring compliance with contractual and corporate standards.
  • Estimate the man-hours required for project execution based on company databases, collect actual data, and report deviations between planned and actual values.
  • Maintain and periodically update the Detailed Project Schedule according to contractual requirements and internal procedures.
  • Monitor compliance with project milestones, contractual deadlines, and interface activities , promptly reporting critical issues and proposing mitigation or recovery actions.
  • Prepare and deliver daily, weekly, and monthly project progress reports , collecting information from the various project departments and ensuring full compliance with contractual reporting requirements.
  • Develop planned progress curves and compare them with actual progress or forecast completion trends.
  • Produce key commodity curves and resource histograms to support project monitoring and forecasting.
  • Track project productivity and construction site performance in line with company standards and procedures.
  • Periodically update internal quantity and progress reports , including quarterly summary reports.
  • Support cost control activities by collaborating on the preparation and updating of the Cost Control Report (CCR) , focusing on actual costs, committed costs, and forecasted final estimates.
  • Assist the Project Contract Manager with planning-related contractual matters, including claims and extension-of-time (EoT) requests.
  • Ensure continuous communication with the planning leadership regarding the status, risks, and criticalities of the assigned projects .
  • Coordinate and oversee the activities of other planning-related roles within the project team (e.g., planners, quantity surveyors, cost controllers) when present.


Requirements

  • Proven experience in project planning and project control within engineering, construction, or industrial projects .
  • Strong knowledge of project scheduling methodologies and tools .
  • Ability to develop and manage WBS structures, project schedules, progress curves, and resource planning tools .
  • Experience in project reporting, schedule monitoring, and deviation analysis .
  • Familiarity with contractual planning processes, claims management, and extension-of-time procedures is considered an advantage.
  • Strong analytical, organizational, and communication skills.


The Project Planning Coordinator reports hierarchically to the Project Planning Management Leader and works operationally in close coordination with the Project Manager .
