For our newly opened Italian branch based in Milan, we are looking for a:


PRODUCTION ACCOUNTANT

The Role

As Production Accountant you will play a central role in supporting the day-to-day administrative and financial operations of our Milan office and productions (photo shoots, films, events).

You will act as the key interface between the Head of Office, the production team, external accountants, suppliers, and freelancers.

While you will not be responsible for bookkeeping or accounting, you will ensure that all administrative and financial documentation is accurate, well-organised, and prepared in compliance with internal processes.

This is a hands-on, operational role within a fast-paced and creative production environment.


Key Responsibilities

Production & Financial Administration

- Collecting, preparing, and organising all financial and administrative documents for productions (invoices, expense reports, contracts, receipts);

- Managing the full invoice workflow (clients & suppliers) using company tools (Spendesk);

- Preparing and processing payments (suppliers, freelancers, crew) under the supervision of the Head of Office;

- Monitoring expenses and supporting producers in budget tracking and project follow-ups;

- Reconciling company card transactions and expense reports with production teams;

- Acting as the daily point of contact with the external accountant for administrative and financial coordination and with our French HQ;

- Managing office-related payments and supplies.

HR & Office Administration

- Supporting payroll preparation for freelancers and temporary crew;

- Managing expense notes, per diems, and related documentation;

- Tracking holidays for permanent employees;

- Managing meal vouchers (ticket restaurant);

- Preparing, managing, and monitoring freelance engagement contracts, in coordination with production teams and external partners;

- Managing and monitoring office insurance contracts (liability, equipment, and related policies), in coordination with external providers;

- Supporting compliance with local labour regulations at office level.

Ideal Candidate Profile

- Experience: Minimum 4–5 years in a similar administrative or production support role within a production company, creative agency, or related environment;

- Industry Knowledge: Strong understanding of production workflows and administrative needs related to photo, video, and event productions;

- Organisation: Highly organised, detail-oriented, and reliable, with strong deadline management skills;

- Mindset: Proactive, flexible, and able to handle last-minute changes in a demanding production environment;

- Languages: Italian mother tongue and fluent in English (French is a plus);

- Education: University degree in Economics or Business Management;

- Tools: Excellent command of Excel and financial/administrative tools.
