We are looking for an analytical and organized PMO & Capacity Planning Specialist to manage the monitoring of our Tech Projects Portfolio and oversee Capacity Planning.
In this role, you will act as a strategic bridge between demand (upcoming projects and pipeline) and supply (Delivery and Quality Assurance).
Your goal will be to ensure optimal project planning, accurate reporting, and effective workforce utilization, while predicting future needs and resolving allocation conflicts to keep delivery on track and within budget.
Key Responsibilities :
PMO Governance & Process
- Ensure data integrity in our PPM tools (e.g., Jira) regarding project timelines and criticalities.
- Guide Demand/Project Managers on how to plan and request resources effectively.
- Enforce standard processes for project information tracking.
- Prepare analytical reports, dashboards, spreadsheets, and charts within prescribed deadlines.
- Act as a valuable contributor to the Technology Transformation journey and the company’s Digitalization Program.
Capacity Planning & Forecasting
- Collaborate with Tech Leaders to align capacity planning with the project roadmap.
- Analyze the project pipeline to forecast resource needs in the short, medium, and long term.
- Monitor team utilization rates to prevent over- or under-allocation.
- Identify potential bottlenecks or capacity gaps early and propose solutions (e.g., reprioritization).
- Resolve resource conflicts between competing projects.
- Maintain an up-to-date Skills Matrix to ensure rapid identification of subject matter experts.
WE WILL VIBE WITH YOU
- 2–3 years of experience in a similar role within a Governance function, preferably in an IT/Technology department.
- Degree in Management Engineering or Economics.
- Knowledge and experience of IT standards, processes, and practices.
- Experience in IT Governance, IT Strategy, and IT Compliance, preferably within consultancy firms or medium/large companies in the Fintech, Energy, or Telco industries.
- Strong proficiency in MS Excel and PowerPoint; knowledge of Atlassian suite (Jira, Confluence); Power BI is a plus.
- Proactive self-starter with the ability to obtain time-sensitive information from multiple internal and external stakeholders.
- Collaborative, resilient, detail-oriented, with a strong sense of urgency and execution ability.
- Excellent written and verbal communication skills, strong analytical skills, and experience in developing, implementing, and maintaining reporting frameworks.
- Familiarity with both Waterfall and Agile/Scrum environments and capacity management in each.
- Enthusiastic about contributing to the success of the Technology Department and Edenred’s Digital/Transformation Programs.
- Languages: Italian (native), English (professional proficiency – written and spoken).
