Job Description
We are looking for a PhD Program Officer , within the PhD School Office of our Academic Planning & Monitoring Department.
The PhD Program Officer provides comprehensive operational, administrative, and organizational support to one or more PhD programs. The role ensures the smooth day-to-day functioning of the programs across the entire PhD lifecycle - from ministerial accreditation and recruitment to teaching, mobility, thesis completion, and placement - acting as a key point of contact for the PhD Director and Faculty members, PhD students and internal administrative units. The position operates in a highly international environment, supporting a diverse body of international Faculty and PhD students.
Key Responsibilities
Faculty Support
- Support the PhD Director in coordinating PhD program activities, ensuring effective tracking and organization of deadlines, milestones, and deliverables.
- Coordinate course and exam scheduling, classroom allocation, and teaching planning procedures; support faculty with teaching materials and digital platforms (e.g. Blackboard); manage grade recording.
- Coordinate PhD-level events in collaboration with internal event services (e.g. student presentations, open campus days).
- Organize meetings of the PhD Faculty Board / Executive Council and prepare supporting documentation.
- Provide comprehensive administrative support to PhD students (front desk, email assistance, website updates).
- Manage administrative processes for incoming visiting students, including applications, fee payments, and access to teaching activities.
- Manage the PhD program budget and related administrative processes, including purchase requests, reimbursements, contracts, compensation payments, and monitoring of PhD funding allocations.
- Manage thesis procedures in compliance with ministerial and institutional regulations; organize thesis defense sessions.
- Support job market and placement activities, including organization of mock interviews, student travel, and reference letters; collect placement outcomes of PhD graduates.
- Master’s degree.
- At least 3-5 years of professional experience in roles relevant to the position within a higher education institution.
- Knowledge of academic regulations and administrative processes.
- Excellent written and oral communication skills in both Italian and English.
- Work/study experience abroad (at least 6 months).
- Customer oriented mindset, with a strong focus on students, faculty and institutional stakeholders.
- Solid analytical skills and confidence in working with quantitative data.
- Excellent interpersonal skills.
- Strong organizational and planning skills, with the ability to manage multiple activities and deadlines simultaneously.
- High level of accuracy and attention to detail.
- Proactive, reliable and flexible approach to work.
