To assist in this fast paced and vibrant environment, the Creative Director & Owner is seeking a full-time bilingual executive level Personal Assistant who will be based in the company’s head offices in Florence.
The ideal candidate has a strong negotiation and problem-solving skills. He/she needs to have an excellent sense of order and great taste.
The candidate will be expected to:
- Work on a one-to-one basis on a variety of tasks related to owner’s working and private life.
- Manage diary and schedule meetings and appointments.
- Book and manage travel arrangements.
- Act as point of contact between the owner and internal/external collaborators and clients.
- Screen and direct phone calls and distribute correspondence.
- Produce reports, presentations and briefs.
- Develop efficient documentation and filing systems.
- Conduct sourcing of products, suppliers and negotiate prices.
- Deal with confidential information.
Required skills:
- High school diploma.
- A qualification as a Personal Assistant is advantageous.
- At least 5 years of experience as a Personal Assistant to a senior executive.
- Comprehensive understanding of office management systems and applications.
- Fluent level of English is required.
- Demonstrated experience in working independently to identify, analyse, and solve problems.
- Skilled and experienced in organization and time management to juggle multiple priorities with competing deadlines.
- Flexible and adaptable, with the ability to respond to last-minute changes.
- Excellent sense of taste.
- Proficient in the different computer programs (Office Suite, Google emails, etc) and numbers.
- Outstanding negotiation skills.
- Excellent written and verbal communication skills.
- Exceptional planning and time management skills.
- Strong problem-solving skills.
- Driving license is required.
