People & Development Coordinator is an HR generalist profile, responsible for managing the day‑to‑day administration of all areas of human resources, providing P&D support to all employees under the direction and the supervision of both General Manager and P&D Lead. P&D Coordinator will provide a professional and comprehensive generalist P&D service to managers and staff in store, and will involve administration, recruitment as well as partnership with Compensation and Benefits while producing and maintaining accurate and updated employee records.
Key Responsibilities
General Administration
- Insert payroll of starters/leavers information and change of details for employees, ensuring information is accurate, up to date and provided in accordance with deadlines.
- Manage and maintain time & attendance system and close monthly working time for payroll purposes.
- Draft onboarding documents (hiring letter, company policies, T&A system instructions, …).
- Responsible for accurate and correct upload and maintenance of archived documents in dedicated system (Workday).
- Collect, check and send information including T&A recap and any change affecting payslips (change in working time, contractual changes, hiring, termination, bonus to be paid, any change in personal employees’ records) for monthly payroll run.
- Ensure personnel files are created and maintained with up-to-date information and documentation.
- Produce and maintain organization charts and tracking files with contract deadlines, updated headcount.
- Contribute to the development of best practices, procedures and reporting.
- Ensure correct implementation of all P&D policies and procedures by providing accurate and timely guidance to management and employees.
- Provide periodic training to store management in using management software (Workday) for P&D administrative purposes, and deliver guidance on labor law and P&D administration side (e.g. sickness and maternity leave treatment and required documents).
- Coordinate and deliver new hire onboarding and orientation process, partnering with the business and P&D team to ensure new starter induction plans are organized.
- Involved in the annual performance management process, checking data and information at the beginning, during and at the end of the process for accuracy and completeness.
Talent Acquisition
- Support recruitment activity for open‑to‑hire positions.
Talent Management
- Manage the annual performance management process together with the Business Partner, incorporating talent review and salary planning, ensuring that deadlines are met and all information communicated to employees within specified timelines once approvals have been received.
Person Profile
- Action oriented, proactive and self‑motivated – demonstrates initiative and resourcefulness in solving problems. Escalates problems where necessary and understands impact of actions on other team members/partners, communicating and managing accordingly.
- Excellent written and verbal communication and listening skills.
- Excellent interpersonal skills – the ability to build and maintain strong working relationships with the wider HR team, business partners and external partners and contacts.
- Acting as a brand ambassador at all times.
- Ability to work in a fast‑paced environment.
- Highly organized, detail oriented and accurate.
- Ability to manage multiple tasks simultaneously and balance priorities.
- Strong team player.
- Fluency in English is mandatory.
- Educated to degree level or equivalent preferred but not essential.
- Relevant P&D generalist experience.
- Sound knowledge of Italian employment law and desire to ensure knowledge is kept up to date.
- Strong administrative skills.
- Computer literate – Excel, Word, PowerPoint, Outlook, Visio.
