OBR, a renowned international architecture firm based in Milan, is seeking a highly organized and proactive Office Manager & Personal Assistant for a full-time position.

This role combines office management responsibilities with direct executive support to the Partners, offering the opportunity to contribute to both the operational excellence of the studio and the effectiveness of its leadership.


Role Overview


The ideal candidate is autonomous, reliable, and solution-oriented, with excellent organizational and communication skills.


As Office Manager & Personal Assistant, you will oversee the daily functioning of the studio while providing structured and confidential support to the Partners. You will act as a key point of coordination across teams and ensure that both office operations and executive workflows run smoothly.


This role offers meaningful responsibility, direct interaction with leadership, and room for professional growth within an international and culturally vibrant workplace.


In this position, you will have the opportunity to:

Ideal Qualifications

  • Previous experience as Office Manager, Executive Assistant, or similar role
  • Experience in architecture, engineering, or creative industries is preferred
  • Strong organizational and multitasking skills
  • Proactive mindset and strong sense of ownership
  • Excellent communication and interpersonal abilities
  • High level of discretion and reliability
  • Attention to detail and precision
  • Ability to prioritize and manage multiple deadlines
  • Fluency in Italian and English (written & spoken)
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Knowledge of Adobe Creative Suite (considered a plus)


Core Responsibilities

  • Overseeing day-to-day office management and studio organization
  • Managing Partners’ calendars, meetings, and priorities
  • Organizing business trips, travel arrangements, and logistics
  • Coordinating suppliers, service providers, and office-related contracts
  • Liaising with Accountant, Payroll, Financial Consultant, and Insurance provider
  • Handling reception duties and ensuring a welcoming environment for guests
  • Supporting administrative and basic accounting activities
  • Collaborating with Partners and COO to ensure operational efficiency


Additional Responsibilities

Depending on experience and studio needs, the role may also include:

  • Supporting HR processes (screening CVs, organizing interviews)
  • Assisting in national and international tenders and competitions
  • Supporting communication and editorial activities
