Your role
Responsibilities
To support our global team, we are currently looking for an HR Assistant. The role will involve a broad range of responsibilities, including:

  • Welcome visitors, clients, and partners, ensuring a professional and warm first impression
  • Coordinate meeting logistics (rooms, refreshments, setup) and maintain meeting rooms and common spaces in line with Heritage standards
  • Allocate rooms based on meeting relevance and priority
  • Support the provision of coffee and water during meetings with clients and external stakeholders
  • Office Management: manage supplies procurement and planning for the Italy and UK offices; coordinate and select suppliers
  • Ensure alignment with the relevant expense approver
  • Prepare weekly reporting on office expenses
  • HR Operations Support:
    • Ensure compliance with office health and safety procedures across all offices (Italy, UK, France)
    • Manage the HR Help Desk across the three offices, acting as the first point of contact for team member requests
    • Support the planning and execution of company events, offsites, and strategy sessions
    • Support the development and management of employee benefits across different offices
    • Support the logistics and preparation of onboarding days and HR branding days
    • Support and coordinate with IT on day-to-day laptop setup and preparations
    • Executive & Operations Support:
      • Support planning activities and the execution of operational tasks for the Group COO
      • Assist the COO with the management and execution of office-related activities
    What We Are Looking For
    • Prior experience in a similar role, preferably in financial services, consulting, a law firm, or a similar fast-paced environment
    • Strong team player with a flexible, solution-driven attitude
    • High energy, proactive, and confident in taking ownership
    • Excellent organizational and time-management skills, with strong attention to detail and the ability to juggle multiple priorities
    • Fluent in Italian and English, both spoken and written
