Who we are looking for:
As our Office & Experience Specialist, you will be the primary owner of our workplace operations and play a key role in shaping an employee and guest experience that truly reflects Caracol’s innovation, agility, and international mindset.
You will independently manage the day-to-day running of the office while designing and implementing scalable, people-centric processes that support a fast-growing organization. From reception excellence to facility coordination, supplier management, travel logistics, and internal events, you will ensure our workspace is efficient, welcoming, and aligned with our evolving business needs.
In this role, you’ll thrive in a dynamic, global environment where operational excellence, continuous improvement, and cross-functional collaboration are essential. Your work will help build a structured, engaging, and high-performing workplace that empowers our people and accelerates our mission of pushing the boundaries of technology.
Few examples of responsibilities:
- Front-of-house & hospitality : Oversee reception operations, manage the switchboard, ensure a seamless welcome for visitors, and maintain meeting rooms to a professional, ready-for-use standard.
- Workplace operations : Own the office look & feel, coordinate maintenance, facilities, and service vendors, oversee inventory and minor asset tracking, and ensure smooth operational routines.
- Supplier & budget management : Identify, negotiate, and manage suppliers; monitor service quality and ensure alignment with budget, SLAs, and internal standards.
- Travel & logistics : Act as the primary liaison with the travel agency; coordinate travel, accommodations, and itineraries; ensure compliance with travel policies; and propose improvements to travel processes.
- Employee experience : Lead onboarding logistics, coordinate internal events and team-building initiatives, and develop small rituals that reinforce culture, engagement, and sense of belonging.
- HSE & compliance : Support safety procedures and drills, maintain visitor and compliance records, and collaborate with the HSE function to implement and reinforce workplace policies.
- Reporting & processes : Build and maintain dashboards and reports to track activities and KPIs, and propose process optimizations to improve efficiency, cost control, and employee satisfaction.
Ideal Background:
- 3–4 years of experience in office management, workplace operations, employee experience, or similar roles in a corporate or fast-paced environment.
- Proven experience in supplier negotiation and management, budgeting basics, and facility coordination.
- Strong hospitality mindset and excellent communication skills, with confidence in interacting with employees, leadership, and international guests.
- Excellent organizational skills, ability to manage multiple priorities, and a proactive, solution-oriented attitude.
- Solid command of Microsoft 365 and digital workplace tools.
- Fluency in Italian and English (B2 level or above).
