Role Overview

The Marketing Operations Specialist – North & East builds and governs the operational systems that power scalable, revenue‑driven marketing across multiple brands and HubSpot instances. This role ensures that CRM structures, automation workflows, tracking frameworks, and reporting logic are architected with precision, fully QA’d, commercially aligned, and built to scale. Every implementation – from lifecycle stages and lead routing to GTM tags and GA4 events – must be technically robust, clearly documented, and designed to deliver clean data, reliable attribution, and clear visibility into acquisition, retention, and cross‑sell performance. Beyond execution, the Marketing Operations Specialist actively strengthens governance standards, workflow architecture, tagging discipline, and data quality frameworks across markets. The role requires an analytical, systems‑oriented mindset, strong commercial awareness, and the ability to bring order and consistency to complex, multi‑instance environments while continuously identifying opportunities to improve efficiency through smarter processes and emerging martech capabilities.

Responsibilities

HubSpot Instance Management & Governance

  • Manage CRM and Marketing Hub tools, managing properties, lifecycle stages, lead routing, and deduplication across instances
  • Build and maintaining governance frameworks: naming conventions, workflow architecture standards, and data practices that create consistency across brands
  • Audit existing instances, identify technical debt, and systematically resolve conflicts, inconsistent property logic, and bad defaults
  • Develop repeatable standard setups that Activation and Market teams can operate reliably without requiring Ops involvement for routine tasks
  • Establish collaborative feedback loops with Sales teams to design and implement data quality frameworks to ensure that Lead and Deal data remains reliable for commercial forecasting.
  • Support Sales teams with day to day operations inside of HubSpot to ensure operational efficiency

Segmentation & Workflow Architecture

  • Build and maintain segmentation workflows, enrolment logic, suppression lists, branching rules, and re‑enrolment conditions with precision and discipline
  • Ensure workflow infrastructure supports the needs of Lifecycle & Email Specialists and Campaign Managers, providing the technical foundation they need to execute nurturing flows and email series effectively
  • Diagnose and resolve workflow issues systematically, working across teams to identify root causes rather than applying surface‑level fixes

Tracking, Tagging & Data Quality

  • Implement and maintain GTM tags, triggers, and variables across brands, including regex, URL rules, click events, and form submissions, using versioning and environments with discipline
  • Define and verify key GA4 events and conversions, ensuring accurate firing, correct parameters, and clean attribution
  • Troubleshoot data quality issues across platforms: cross‑domain tracking, UTM hygiene, referral exclusions, channel grouping accuracy, and GA4/Google Ads linking
  • Maintain browser debugging capability (Chrome DevTools, Tag Assistant) for QA and issue resolution

Reporting Infrastructure & Performance Visibility

  • Build and govern tagging and reporting logic that connects marketing operations activity to commercial outcomes, helping Intelligence and Commercial teams clear visibility into renewal, cross‑sell, and winback performance
  • Support the development of standardised dashboards and reporting frameworks that surface automation contribution to acquisition and retention metrics
  • Document systems, workflows, and processes clearly, ensuring work is transferable, auditable, and scalable across the organization

Continuous Improvement & Innovation

  • Actively monitor developments in marketing technology, automation platforms, and AI‑powered tooling, identifying where new capabilities can meaningfully improve performance, data quality, and/or operational efficiency
  • Test and implement AI‑assisted approaches to routine operational tasks, from workflow auditing and segmentation logic to QA and documentation, scaling what works across brands
  • Share learnings with the relevant teams, contributing to a culture where innovation in tooling and process is a regular part of how the team works, not a side project

Operational Performance

  • HubSpot instances operating cleanly and reliably across brands, with structured lifecycle stages, accurate lead routing, and minimal technical debt
  • Segmentation and workflow architecture built to scale – enabling Activation and Market teams to execute independently without constant Ops intervention
  • Tracking frameworks (GTM, GA4, Ads) implemented correctly the first time, with consistent QA discipline and minimal data discrepancies
  • Clear governance standards adopted across brands, reducing inconsistency and operational friction

Data Quality & Commercial Impact

  • Lead and Deal data trusted by Sales and Commercial teams for forecasting and performance management
  • Clean attribution and event tracking enabling accurate visibility into acquisition, renewal, cross‑sell, and winback performance
  • Reporting logic that clearly connects marketing automation activity to measurable revenue contribution
  • Reduced manual fixes and reactive troubleshooting due to strong upstream system design

Process & Governance Excellence

  • Well‑documented systems, workflows, and naming conventions that are auditable, transferable, and scalable
  • Technical debt identified and systematically reduced across instances
  • Standardised setup templates and best practices successfully rolled out across markets
  • Delivering high‑quality operational work with minimal oversight while proactively identifying structural improvements

Collaboration & Enablement

  • Sales teams confident in CRM data integrity and supported effectively in day‑to‑day HubSpot operations
  • Lifecycle, Email, and Campaign teams able to execute nurturing and automation strategies without workflow conflicts or data inconsistencies
  • Clear technical documentation and handoffs that reduce back‑and‑forth with Activation, Intelligence, and Commercial teams
  • Active contribution to cross‑market knowledge sharing and continuous improvement within the Marketing CoE

Requirements

  • +3 years of technical and hands‑on experience as a Marketing Operations Specialist, Marketing Automation Specialist, Martech Specialist, or similar roles
  • Experience operating with HubSpot, Google Tag Manager and Google Analytics
  • Additional Coding or AI tools are desirable
  • B2B SaaS experience is a plus
  • Experience working in multi‑brand or multi‑market environments is a strong advantage
  • Methodical and detail‑oriented with strong problem solving skills
  • Clear and effective communicator – you can explain technical issues to non‑technical stakeholders

Language

  • Fluent in English
  • Any additional European languages fluency is valued
