We are searching for an HR Administration Specialist who will manage many aspects of the People function whilst being a key player in building the culture of the company.


Key Responsibilities


HR Administration for Italy, Spain, Germany and France:

  • Manage the full employee lifecycle: preparation of hiring contracts, contract changes, extensions, transfers, and terminations.
  • Maintain employee records and HR documentation in compliance with all the country’s legislation and GDPR.
  • Oversee attendance, timesheets, vacation, sick leave, and monthly payroll variables.
  • Update and maintain HRIS systems and attendance tracking tools.
  • Administer welfare programs and benefits, liaising with providers and supporting payroll updates.
  • Car Fleet Management (Manage assignment, return, and documentation of company vehicles)
  • Monitor legislative updates and adapt internal HR processes accordingly.
  • Collaborate with labor consultants, legal advisors, and payroll partners.



HR Generalist Support for Italy, Spain, Germany and France:

  • Provide frontline support to employees regarding payroll, benefits, and administrative matters.
  • Support onboarding and offboarding processes.
  • Contribute to HR projects, process optimization, and internal policy updates.


Technical Skills

  • Mandatory: solid knowledge of Italian labour law and relevant national collective agreements (CCNL commercio)
  • Nice to have: knowledge of French labour law
  • Experience in payroll processing or payroll coordination (preferably multicountry).
  • Strong background in HR administration and documentation.
  • Experience with car fleet management.
  • Excellent command of HRIS tools, Microsoft 365, and Excel.
  • Professional proficiency in English (B2+)



The ideal candidate will have:

  • Degree in human resources or similar
  • At least 6 years’ experience in a similar role
  • Good level of English, spoken and written
  • Organisational, planning and analytical skills
  • Ability to handle multiple tasks with tight deadlines
  • Interpersonal and communication skills
