Role: Operations Coordinator – Milan

We are seeking an Operations Coordinator to manage day‑to‑day tasks related to new apartment onboarding, facilities management, and guest operations. You will have broad autonomy and will tackle various challenges and opportunities.

Responsibilities

  • Manage guest operations from check‑in to check‑out, including resolving requests and complaints.
  • Ensure apartments are clean and maintain high‑quality condition.
  • Coordinate with third‑party service providers (plumbing, electricians, cleaning, painting, carpentry) and building administration.
  • Assist the sales team with apartment visits for potential customers.
  • Provide data‑driven recommendations and process improvements to increase operational efficiency, customer satisfaction, and stay quality.

Check‑In

  • Conduct regular inspections to ensure apartments meet or exceed quality and cleanliness standards.
  • Manage guest access to apartments, including key management, keyless access codes, and communication with the GX team.
  • Assist the GX team with building entrance instructions and apartment details when requested.
  • Manage welcome kits and cleaning supplies inventory.

Check‑Out

  • Coordinate with housekeeping, maintenance, and other teams to schedule tasks and ensure timely turnaround between stays.
  • Replace essential items and cleaning supplies between guests.
  • Schedule and supervise the check‑out cleaning.
  • Conduct check‑out procedures and report on maintenance/furniture replacements.
  • Provide feedback to the design team on furniture quality.
  • Oversee expenditures and costs related to guest operations.

About You

  • 1+ year of operational or customer service experience in hospitality or vacation‑rental industry.
  • Experience using Property Management Systems.
  • Capability to work from the office and on‑site as needed.
  • Valid driving licence is a plus.
  • Hands‑on and resolutive attitude.
  • Comfortable working in cross‑functional teams.
  • Fluency in English and Italian required.
