(Freelance) Ground Operations Coordinator Role

Expected hours: 20 – 30 per week


Work location: In person - Venice city.

Starting date: March 2026

Compensation:

This is a freelance role with an hourly rate of:

  • €25/hour for regular coordination, including on-site tour support and guest-facing tasks
  • €15/hour for logistics shifts, including non–guest-facing tasks such as equipment handling and administrative support

About You:

We’re looking for freelance Ground Operations Coordinators to support our day-to-day tour operations in Venice city center, primarily around St. Mark’s Square and the Rialto area. This role is ideal for someone who is organized, punctual, and comfortable working in a fast-paced, people-focused environment. You’ll work closely with guides, partners, and internal teams to ensure tours run smoothly each day.

The ideal candidate is reliable, proactive, and collaborative, with strong communication skills and a positive, can-do attitude. This role requires flexibility, including weekend and evening availability, and a commitment to delivering excellent service.

This is a freelance position. Candidates must already have a Partita IVA (VAT number) or be willing to register for one. Fluency in English and Italian is required; Spanish is a plus.


About the Opportunity:

As a Freelance Ground Operations Coordinator, you’ll provide hands-on operational and administrative support for our tours in Venice city center, primarily around St. Mark’s Square and the Rialto area. Working closely with our Central Operations team and Ground Operations Manager, you’ll play a key role in keeping daily operations running smoothly across our walking tours, food tours, group experiences, island tours, and private tours.

This is a highly people-facing role. You’ll support and coordinate our local freelance guides and tour leaders, manage relationships with partners and suppliers, and ensure our operational procedures work effectively on the ground. You’ll also be our main point of feedback—gathering insights from guides, partners, guests, and your own on-site experience to help improve tour quality and efficiency.

We’re looking for someone with prior experience in tourism or tours & activities, who is organized, proactive, and comfortable problem-solving in a fast-moving environment. Experience working with tour guides is a strong plus. This role requires strong communication skills, attention to detail, and the ability to juggle multiple priorities with a calm, can-do attitude.

The role is based in Venice, includes evening and weekend work, and is offered on a freelance basis with a flexible schedule. You’ll have autonomy in planning your time, while still meeting operational deadlines and standards.


Your responsibilities:

  • Tour coordination: collect tickets, check in guests, resolve issues on the ground, and complete post-tour reports
  • Manage day-to-day operations and post-tour reconciliation
  • Accounting support: cash handling, ticket tracking, and operational expenses
  • Materials and branding: procurement and distribution
  • Operational quality: identify improvements to tours, suppliers, procedures, and itineraries
  • Support the Operations team with guide switching, escalations, and resource planning
  • Flag and escalate ongoing non-compliance with procedures when needed
  • Suggest tour or contract updates to the Ground Operations Manager


Requirements:

  • Based in Venice city center (St. Mark’s Square / Rialto area)
  • Fluent in English and Italian; Spanish is a plus
  • Available for weekend and evening work
  • Partita IVA (VAT number) required or willingness to register
