FJSHS Counseling Secretary

Position Summary

The Counseling Secretary provides confidential administrative and clerical support to the school counseling team and serves as a key point of contact for students, families, staff, and the public. This position supports counseling operations, student records management, attendance reporting, graduation processes, and coordination with school administration while maintaining strict confidentiality and professionalism.

Essential Duties and Responsibilities

  • Provide daily administrative and office management support for the counseling department
  • Serve as a receptionist for the counseling office; answer, screen, route, and document telephone calls and messages
  • Maintain and enter student attendance records accurately and in a timely manner
  • Respond to inquiries from students, parents, and staff regarding attendance policies, absences, suspensions, enrollment status, and related procedures
  • Compile, prepare, and submit required weekly, monthly, and year-end reports
  • Assist with ordering, processing, and tracking supplies and materials, including graduation-related items
  • Collect, maintain, and update confidential student records, including transcripts
  • Maintain accurate and up-to-date student files and records in compliance with district and state requirements
  • Print and distribute attendance notification letters for students reaching established absence thresholds (4, 7, and 10 absences)
  • Maintain monthly student behavior documentation as required
  • Maintain student athlete records, including physicals, drug testing permissions, handbook acknowledgments, and related compliance documents
  • Maintain current transportation and bus information for new and existing students
  • Prepare, type, and distribute correspondence, reports, and records
  • Take and transcribe notes as needed for official documentation
  • Collaborate with local agencies and school personnel as appropriate
  • Demonstrate strong public relations skills while maintaining professionalism and confidentiality
  • Perform other duties as assigned

Education and Experience

  • High school diploma or General Education Diploma (GED) required
  • Minimum of one (1) year of prior office or administrative experience preferred
  • Successful completion of all required criminal background checks and fingerprinting

Language and Communication Skills

  • Ability to read and interpret policies, procedures, and operational manuals
  • Ability to write routine reports and professional correspondence
  • Ability to communicate effectively and professionally with students, parents, staff, and the public

Salary and Benefits

  • 175-day contract, 8.5 hours per day, schedule determined by district calendar
  • Salary placement according to the Classified Salary Schedule
    • Up to five (5) years of directly related experience may be credited
  • Insurance benefits in accordance with the Classified Employee Handbook

  • Participation in PERA retirement system
