The Role
We are looking for someone with prior or current Legal firm and/or Professional Services company experience working in an Executive Assistant role. This role will support our Managing Directors, overseeing their schedules, managing Business Unit operations, and nurturing client relationships. Thrive in a fast‑paced, dynamic environment where you anticipate needs, problem‑solve efficiently, and actively contribute to business development.
How you'll contribute
- Extensive diary management for Managing Directors
- Coordinating office lunches, meeting rooms
- Travel booking – hotels, flights, cars, visas, trains
- Completing expenses and tracking expense statements
- Printing, binding and scanning of documents
- Booking venues for breakfast, lunch and dinner meetings
- Submitting invoices and liaising with accounts department
- Knowledge of anti‑money laundering regulations and compliance procedures
- Various administrative tasks
- Editing Word documents, Excel documents and PowerPoint documents
- Liaising with billing team
- Liaising with wider business support functions
- Supporting on wider team events
- Assisting with onboarding of new team members
- Collaboration with wider EA team and Office Manager
- EA Holiday Cover
- Supporting the wider team with various ad hoc requests
Essential Qualifications
- Proven experience as an Executive Assistant, in a professional services or legal firm.
- Excellent organizational and time management skills.
- Ability to handle confidential information with discretion.
- Fluent in English (written and spoken). Additional languages are a plus.
- Proficiency in Microsoft Office Suite and familiarity with ERP systems.
- Strong communication and interpersonal skills.
- Detail‑oriented with a proactive approach to problem‑solving.
