Accountability
The Executive Assistant reports to the CEO. This position serves as a strategic partner with the CEO in managing priorities, communication, and execution across the company. This role is critical in supporting the CEO to ensure that his time, focus and energy are directed toward the highest impact initiatives.
This position is responsible for scheduling, communication, and follow through bringing structure to a fast-paced, global environment. From managing complex calendars and stakeholder interactions to supporting key initiatives and handling confidential matters, the holder of this position ensures that nothing falls through the cracks and that promises are accomplished with integrity.
Duties/ Responsibilities
1. Manage the CEO’s calendar with precision, prioritizing high impact engagements while protecting focus time.
2. Prepare agendas, briefing materials, and follow ups to ensure meetings are purposeful and outcome driven.
3. Coordinate seamlessly across multiple time zones, stakeholders, and parallel workstreams.
4. Plan and manage personal travel logistics.
5. Handle confidential personal and professional matters with the highest level of discretion and professionalism.
6. Represent the CEO in meetings when required, capturing key insights, contributing where appropriate, and ensuring clear follow-through and alignment.
7. Engage confidently with service providers, consultants, partners, and internal teams, acting as a credible extension of the CEO’s office.
8. Own task tracking and prioritization across multiple initiatives, ensuring deadlines are met and high impact priorities remain on track.
9. Maintain clear, timely, and professional communication with senior leadership and team members across the organization.
10. Understand the culture of the organization and be a proponent of it in a high visibility role.
Qualifications/ Requirements
• 5+ years of experience as an Executive Assistant Chief of Staff, or in a similar high trust support role
• Must be Native or Fluent in Italian
• Proven experience supporting senior executives or founders in a fast-paced, high growth, or global environment
• Exceptional organizational and time management skills, with the ability to manage multiple priorities without dropping details
• Ability to balance both professional and personal support responsibilities with clear boundaries
• Must be able to manage various projects at the same time and pivot as needed
• Must be agile, creative, and committed to accomplishment
• Must have grit and resourcefulness
• Must be committed to completing promises on time, doing whole and complete work
• Must be easy to work with individually and as a team member
• Must be able to communicate with high net worth individuals

• Proven ability to work in a fast-paced environment and willingness to pivot when needed to achieve goals.
• Proficient with Microsoft Office pack, Teams and ClickUp.
• Must have access to reliable internet with a minimum bandwidth of 3 Mbps.
• Must have a dedicated work computer with minimum Windows 11or MacOS 13 and 8 gigabytes of RAM.
