As an Executive Assistant, you will be a trusted partner to the Senior Leadership Team (SLT) in Italy, supporting leaders in Piedmont/Langhe and Parma/Collecchio. This role is essential to keep leadership agendas on track, enabling smooth day-to-day executive operations, and driving effective coordination across strategic initiatives in a fast-moving organization.
Role is based in Serralunga d'Alba, Piedmont and will require business trips to Parma according to needs.
What You Will Do:
- Calendar management, travel planning, meeting preparation, and project coordination.
- Proactively anticipate leadership needs and act as a liaison with internal and external stakeholders.
- Plan, organize, and support priorities of Senior Leaders and their functional teams, coordinating tasks, projects, and deliverables.
- Support and, where appropriate, lead projects, advising associates on workflows, priorities, and decisions.
- Organize domestic and international travel, including Italy–US, US–Italy, and across Europe.
- Schedule and facilitate meetings, prepare agendas, capture action items, and coordinate logistics, travel, and communications for key meetings and strategic sessions.
- Develop, review, and adapt presentations and reports for different audiences; support communication plans and ensure leaders are fully briefed and prepared.
- Build strong relationships across the organization and with external partners; represent leaders when required and stay informed on company initiatives.
- Respond professionally and efficiently to requests from associates, management, and staff, while handling sensitive and confidential information with discretion.
Who We Are Looking For:
- Fluency in English, both written and spoken; additional languages are a plus.
- Exceptional attention to detail with a highly organized and proactive working style.
- Ability to work independently, anticipate needs, and adapt quickly to changing priorities.
- Solid understanding and experience in C-suite responsibilities, priorities, and decision-making dynamics.
- Ability to prioritize effectively and meet tight deadlines.
- Proven capability to maintain confidentiality and manage sensitive information with discretion.
- Excellent communication skills, with the ability to interact effectively at all levels of the organization.
- Advanced computer skills, including strong proficiency in Word, Excel, PowerPoint, and Outlook.
- High level of interpersonal skills, demonstrating poise, tact, and diplomacy at all times.
- Availability and flexibility to operate in a fast-paced, growth-oriented, and time-critical environment.
