The Role — What You’ll Own
We are looking for an Executive Administrative Assistant to ensure smooth daily operations and support our growing team. You will play a key role in maintaining an efficient work environment and managing administrative and operational activities.
Key Responsibilities
- Oversee weekly financial planning , including periodic cashflow drafting and monitoring
- Collaborate with accountants on:
- Invoicing (Receivable & Payable)
- Monthly/Quarterly reports
- Annual financial statements
- Tax compensation & R&D tax claims
- EIS investment incentive schemes
- Closure of investment rounds
- Liaise with labour and RSPP consultants
- Handle bank accounts and reconciliation
- Register invoices, monitor payments, and schedule transactions
- Manage customs clearance and duty tax payments
- Oversee grants accounting (European, regional, national)
- Maintain direct contact with shareholders and company secretary
- Renew insurance policies
- Organize business travel
- Update Virtual Data Room (VDR) and GDPR documentation
Required Qualifications / Skills
- Proven experience in administrative assistance and managing complex documentation
- Intermediate to advanced English proficiency
- Basic accounting knowledge
- Strong skills in:
- Time management
- Problem-solving
- Microsoft Office package
Nice-to-Have
- Experience with financial reporting of EU grants
- Knowledge of GDPR compliance
- Familiarity with investment incentive schemes (EIS)
- Previous experience in technology or research-driven environments
