Facilities Manager

Reports to: Executive Director

Supervises: Facilities Staff, Head Chef, Camp Nurse, Head Counselor, 3rd Party Vendors

Status: Full-Time, Exempt

Compensation: $50k-$60k DOE, + housing for the right candidate

Position Overview

The Director of Operations is the operational backbone of Perry-Mansfield. This single role integrates year-round operations management, camp administration, and facilities oversight to ensure the campus, programs, and seasonal activities run smoothly, efficiently, and in alignment with the organization’s mission.

Key Responsibilities

  • Camp Director (Seasonal + Prep Year-Round)

Leadership & Administration

  • Serve as the official Camp Director for all Perry-Mansfield summer programs.
  • Plan and execute all camp logistics, systems, and day-to-day operations.
  • Maintain and manage CampDoc (or equivalent) including health records, forms, incident documentation, and parent communications.
  • Lead seasonal staff training, onboarding, and compliance meetings.
  • Maintain all childcare licensing, state regulations, youth safety protocols, and ACA-aligned best practices.

Camper & Family Communication

  • Oversee registration workflows, communication timelines, and parent support.
  • Respond to parent inquiries, concerns, and camper needs in real time during camp.

Seasonal Staff Management

  • Recruit, hire, schedule, train, and supervise camp nurses, head chef & kitchen staff, camp counselors, and third-party vendors.
  • Lead daily meetings during camp and ensure strong morale and clear communication.

Program Support

  • Work closely with department heads (Dance, Theater, Equestrian, Tech, Circus) to ensure they have operational support, schedules, resources, and safe functioning spaces.

Facilities Maintenance

  • Oversee all campus buildings, grounds, utilities, water systems, and infrastructure.
  • Complete or coordinate repairs, preventative maintenance, and seasonal transitions (opening/closing buildings).
  • Maintain safety protocols, emergency plans, and regulatory compliance for all 74 acres.
  • Track and manage equipment, tools, vehicles, and supplies.

Vendor Procurement & Oversight

  • Schedule and supervise all service providers, including HVAC, plumbing, electrical, grounds, inspections, waste management, and snow removal.
  • Maintain relationships with contractors and ensure timely, cost-effective work.
  • Vendor on-boarding and contracting, in compliance with the PM Procurement Policy.

Facilities Planning

  • Build a long-term maintenance and capital improvement plan with the ED.
  • Maintain logs, maintenance records, and a clear priority list.

HR & Compliance

  • Support onboarding for year-round and seasonal staff.
  • Maintain background checks, fingerprinting, incident reports, and safety documentation.
  • Ensure all organizational policies and procedures remain updated and followed.

Risk Management & Safety

  • Maintain emergency protocols, safety procedures, and training for staff and campers.
  • Conduct regular campus safety inspections and address hazards proactively.
  • Maintain regulatory compliance with state, health, fire, and youth protection standards.
  • Document and report incidents, ensuring timely communication and follow-up.

Qualifications

  • 3–5+ years in camp management, facilities management, operations, or related roles.
  • Strong leadership and communication skills with the ability to manage seasonal high-volume workloads.
  • High competency in project management, logistics, and systems building.
  • Solid understanding of maintenance, safety, and regulatory requirements.
  • Experience working in environments with youth programs strongly preferred.
  • Ability to perform physical tasks related to facilities work.
  • Calm under pressure, solutions-oriented, and comfortable multitasking.
