As we continue strengthening our clinic operations, we’re looking for a Clinic Experience Coordinator to ensure a seamless, welcoming, and operationally excellent experience for patients and therapists at our Milan clinic.

What You’ll Do
As a Clinic Experience Coordinator , you will be the on‑site operational reference point for the clinic, ensuring smooth daily operations and a high‑quality in‑person experience for both patients and therapists.
You will work closely with Central Operations and Clinical teams, managing day‑to‑day clinic activities, handling operational exceptions, and ensuring full alignment with Unobravo’s clinical, operational and brand standards.
Your main responsibilities will include:
- Welcome patients in the clinic and ensure a warm, professional, and consistent in‑person experience aligned with Unobravo standards.
- Accurately track and register session attendance, including delays and no‑shows.
- Manage last‑minute bookings and cancellations, supporting the rescheduling of sessions not confirmed at the end of appointments.
- Support operational follow‑up on missed or canceled sessions, in coordination with Central Operations.
- Support clinic operational flows related to scheduling, payments, and invoicing, troubleshooting issues and managing exceptions as needed.
- Ensure compliance with clinical, operational, and brand standards at clinic level, including cleanliness, space organization, room setup and correct preparation of the therapeutic setting.
- Manage the operational onboarding of in‑person therapists, explaining clinic workflows, space organization and room usage in line with Unobravo standards.
- Act as the main operational point of reference within the clinic, ensuring continuity of service and resolution of daily operational issues.
- Independently manage issues that can be resolved on‑site and elevate complex cases to Central Operations or Clinical Oversight in a structured manner.
- Support clinic capacity management, ensuring optimal availability and use of spaces, and flagging recurring issues or improvement opportunities to Central Operations.
- Support reassignments and operational adjustments at clinic level.
- Compile and update the clinic‑level section of the End‑of‑Day operational report.
- Support Central Operations with additional operational activities when required.
✅ Must‑have skills
- 2–4 years of relevant experience in operational coordination, clinic operations, practice coordination, or similar roles in people‑facing service environments.
- Direct experience working with patients or users, preferably in healthcare, clinical, or hospitality settings.
- Ability to work effectively in dynamic and partially structured environments, managing daily variability and operational exceptions.
- Experience maintaining high standards of service quality, order, and hospitality.
- Strong organizational, problem‑solving, and prioritization skills.
- Familiarity with basic digital tools and operational systems.
- Strong collaboration mindset and ability to work closely with central teams and clinical functions.
- Fluency in English.
