Randstad Italia SpA, on behalf of a multinational company, is seeking a highly organized, proactive, and discreet Executive Assistant Chinese speaker to provide high-level administrative and strategic support to the CEO.

In this role, this person will serve as a trusted partner, ensuring seamless day-to-day operations and fostering effective communication within a fast-paced, global environment. The ideal candidate will balance rigorous time management with a sophisticated professional presence.

  • Location: Rome
  • Contract: Fixed term outsourcing contract with Randstad with possibility of renewal

Key Responsibilities

  • Strategic Calendar Management: Proactively manage the CEO’s complex schedule, prioritizing high-impact engagements and coordinating seamless international travel logistics.
  • Stakeholder Liaison: Serve as the primary gatekeeper and point of contact, streamlining communication between the CEO and internal/external stakeholders.
  • Confidentiality & Discretion: Execute the highest level of integrity when handling sensitive corporate data and private information.
  • Project Oversight: Drive strategic initiatives by tracking action items, managing deadlines, and ensuring consistent follow-up on executive priorities.
  • Executive Support: Efficiently screen and vet incoming calls, emails, and requests to optimize the CEO’s daily workflow.
  • Travel & Expense Management: Orchestrate end-to-end domestic and international travel, including detailed itineraries and comprehensive expense reporting.
  • Cross-Functional Collaboration: Partner with Finance, HR, and Legal departments to ensure organizational alignment and the successful execution of CEO mandates.

Required Qualifications & Experience

  • Education: Bachelor’s degree or equivalent professional background.
  • Experience: previous experience as an Executive or Personal Assistant supporting C-suite leadership and demonstrated expertise in managing high-level stakeholders and high-volume, complex calendars.
  • Technical skills: Expert-level command of Microsoft Office 365 / Google Workspace and modern digital collaboration tools.
  • Trilingual Fluency: Professional-level proficiency in English, Chinese, and Italian.
  • Efficiency: Ability to operate independently, navigate competing priorities, and deliver results under tight deadlines.
  • Executive Presence: Exceptional interpersonal skills with the ability to interface with global leaders.
  • Proactive Problem-Solving: A solution-oriented mindset with the ability to "connect the dots" and anticipate executive needs before they arise.
  • Adaptability: High degree of resilience and flexibility in fast-paced, evolving environments.
