Position: Assistant Division Coordinator

Location: Italy, Rimini

Are you ready to elevate your career with a company that values health, innovation, and meaningful global impact? We are looking for a proactive, disciplined, and motivated Assistant Division Coordinator to support our international operations and dynamic leadership team.


Key Responsibilities

1. Executive Support

  • Serve as the right hand to the Division Leader: assist with planning, communication, and task execution.
  • Prepare analytical briefs, reports, presentations, and summaries.
  • Support the coordination of international projects.
  • Handle routine managerial tasks to optimize the leader’s time.


2. Coordination of Emerging Markets (Non-Priority Countries)

  • Maintain communication between HQ and regional leaders.
  • Monitor execution of basic marketing and operational tasks.
  • Provide timely reports on risks, issues, and progress.
  • Collect regional statistics, activity plans, and reports.
  • Support local teams with tool and process implementation.


3. Control Meetings & Performance Monitoring

  • Plan and conduct regular sync meetings (online/offline) with regions.
  • Track KPI achievements, deadlines, and operational tasks.
  • Assist in adjusting plans when deviations occur.
  • Prepare meeting minutes and oversee execution of decisions.


4. Learning & Developing Recruitment Skills

(Training-based function)

  • Participate in recruitment projects under a mentor.
  • Learn algorithms for attracting key leaders and distributors.
  • Adapt recruitment tools to regional specifics


5. Work With Distributors & Partners

  • Support new and active distributors with organizational tasks.
  • Assist in onboarding and adaptation to company tools and processes.
  • Gather field feedback and communicate it to management.
  • Participate in preparation of training materials and mini-events.
  • Coordinate onboarding kits and support systems.


6. Process Organization

  • Prepare schedules, timelines, and project roadmaps.
  • Monitor deadlines and deliverables across countries/regions.
  • Maintain internal sheets, CRM data, and summary dashboards.
  • Participate in improving business processes.


7. Communication & Administrative Support

  • Handle business correspondence with leaders, offices, and contractors.
  • Prepare weekly reports for the Division Leader.
  • Ensure documentation and process tracking.
  • Organize meetings, travel arrangements, and small events.


Requirements

  • 2+ years in administrative, coordination, or operational roles.
  • Experience in an international environment or network marketing is a plus.
  • Excellent written and verbal communication skills.
  • Strong ability to work with KPIs, reports, and spreadsheets.
  • English: B2+ required .
  • Strong proficiency in Google Workspace / MS Office.
  • Highly organized, independent, disciplined, and reliable.
  • Readiness for occasional business travel.

  • CRM systems (HubSpot, Zoho, Bitrix, Amo, etc.)
  • Zoom / Google Meet
  • Slack or Microsoft Teams
  • Notion (preferred)
  • Telegram Business Tools
  • KPI dashboard management (Google Sheets)


Nice to have:

  • Canva (mini-presentations)
  • PowerPoint
  • Trello / Asana


Languages

  • English - B2 minimum (required)
  • Spanish (A2–B1), Russian, Portuguese - advantage
