We are looking for a detail-oriented Administrative & Event Assistant to join our growing team. As the central link between Administration, Sales, Marketing, and Logistics, you will balance rigorous administrative oversight with the agility needed to support global logistics, event and travel coordination. This role begins as a fixed-term contract (6 months) with strong prospects for permanent hire. A valid EU work permit is required .

Location: Trieste.


Main Responsibilities

  • Administrative support: sales invoicing (with bot Italian and international customers), managing payments, and monitoring deadlines.
  • Travel management: coordinate travel itineraries and bookings for the team.
  • Logistics & events: oversee warehouse inventory and coordinate shipments for corporate events and exhibitions.
  • Front office: handle front-office operations, digital/paper archiving, and procurement of office supplies.


Requirements

  • Excellent knowledge of Italian (native or professional level) and a good knowledge of English.
  • At least 3 years of professional experience in administration and/or accounting.
  • Proficiency in Microsoft Office (specifically Excel) and basic digital tools.
  • Excellent organizational skills, reliability, punctuality, ability to work independently, and discretion.


Preferred Qualifications

  • Professional experience in event organization.
  • Knowledge of additional languages.
  • High School Diploma or University Degree in a field relevant to the position.
  • Experience with accounting software, ERP systems, or CRM platforms.
