Randstad Italia is looking for a talented, highly organized Administrative Assistant to join a leading Chinese multinational company in the Telecommunications sector.

Contract & Compensation Details

  • Location: Milan or Rome (Open to evaluating candidate location preferences)
  • Contract Type: Full-time, Fixed-Term Contract (Outsourced via Randstad)
  • ⚠️ Please apply only if you are fully comfortable with this contract type.
  • Salary Range: €27,000 – €30,000 gross/year (commensurate with experience)


Main Responsibilities

1. Accommodation & Expatriate Services

  • Daily Operations: Oversee company apartment bookings and coordinate smooth hotel arrangements for incoming expatriate employees.
  • Vendor Coordination: Act as the primary liaison for service vendors regarding check-ins/outs, property maintenance, routine inspections, and corporate shuttle logistics.
  • Financial Control: Verify monthly rentals and service charges; support annual contract reviews with data-driven operational analysis.

2. Physical Assets & IT Management

  • Lifecycle Management: Oversee the end-to-end lifecycle of physical assets (registration, stocktaking, and compliant disposal) while guiding internal teams.
  • IT Procurement: Plan administrative budgets, procure equipment, and manage the delivery/return logistics of laptops and accessories for employee onboarding/offboarding.
  • Compliance: Ensure all asset scrapping and disposals rigorously align with company regulations and local compliance laws.

3. Catering & Dining Services Governance

  • Process Optimization: Develop localized catering guidelines, optimize dining service workflows, and proactively address employee dietary needs.
  • Quality & Feedback: Implement monthly satisfaction surveys, resolve complaints, and enforce supplier quality through a closed-loop tracking system.
  • Financial Safety: Monitor supplier performance and audit financial records to ensure fund safety and billing accuracy.


Requirements

  • Trilingual Fluency: Exceptional verbal and written fluency in English, Italian, and Chinese is mandatory
  • Stakeholder Management: Proven ability to align diverse, cross-functional teams and comfortably influence stakeholders at all levels.
  • Operational Agility: A track record of managing multiple projects simultaneously in fast-paced, dynamic corporate environments.
  • Technical Stack: Advanced proficiency in Microsoft Office, specifically Excel and PowerPoint
