We are looking for an Academic Communications Specialist , within the Academic Communications Office of our Academic Services Department.
The Academic Communications Specialist will support the management of communication activities related to academic programs, from the identification of appropriate communication channels to the use of relevant software systems, including the collection and analysis of related data. The person will also provide support in the administration of students’ academic careers.
Key Responsibilities
Support to academic communication activities
Liaison with students (front office services, written correspondence, and phone support); handling and resolution of user requests; support in the management of the institutional website; assistance in content creation (in Italian and English) and identification of the most appropriate communication channels; profiling of student target groups; publication of content on University platforms (Agenda ) and in the University Guide; support in process monitoring and reporting activities.
Operational support for academic software systems
Assistance in analyzing informational and functional requirements; support in software development and release phases; user support and troubleshooting related to academic management systems.
Support for special communication projects
Assistance in the management of special communication initiatives related to academic activities, addressed to both students and faculty.
ESSE3 system management
User support in identifying and resolving issues related to the ESSE3 student information system.
Data collection and analysis
Support in the management of student data archives; database querying and analysis of extracted data.
Student career administration support
Preparation of certificates and administrative documentation; preparation of graduation diplomas; support in the management of student career processes (e.g., changes of degree programs, verification of study plan requirements, management of examinations, administration of graduation procedures, etc.).
Requirements
Master’s degree.
1-2 years of professional experience in roles relevant to the position within a higher education institution.
Knowledge of academic regulations and university administrative processes will be considered a plus.
Excellent written and oral communication skills in both Italian and English.
Work/study experience abroad (at least 6 months).
High level of accuracy, reliability, and discretion in handling administrative procedures and data, including sensitive information.
Strong service orientation and commitment to delivering a high-quality user experience.
Proficiency in IT tools and administrative/management software systems, with a proactive attitude toward continuous digital learning.
Analytical skills and confidence in working with quantitative data.
Excellent interpersonal and communication skills, with a collaborative approach and the ability to work effectively within cross-functional teams.
