Your Role

The Housing Coordinator supports students with local accommodation, resolving maintenance and roommate issues, and assists the Senior Housing Coordinator in maintaining the local housing portfolio. The Coordinator also assists in program and office administration, including reception duties, and collaborates across departments.

What You’ll Do

Housing Services

  • Work through student issues—particularly roommate difficulties—to resolution, enlisting other Housing staff and Student Affairs staff.
  • Enlist appropriate assistance to resolve maintenance requests in a timely manner and follow them to satisfactory completion; apartment inspections may be required.
  • Maintain positive relationships with homestay families and ensure students feel comfortable.
  • Maintain positive relationships with local housing vendors and collaborate with PASS Director and other Housing staff to resolve student issues.
  • Assist enthusiastically with the "Italian Roommate" initiative, coordinating services beyond apartments.
  • Serve as point of reference for Italian roommates and coordinate with staff on their utilization.
  • Be informed of housing assignment rationale to understand detailed considerations.
  • Open cases on Salesforce for housing incidents, safety/health incidents, and other housing-related issues.
  • Participate in Housing team meetings.

Housing Inventory

  • Ensure student housing meets CEA CAPA standards and update the local housing database; conduct visits to new and known accommodations as necessary.
  • Participate in apartment checks during semesters and summers, including meter readings.
  • Contain housing costs to a minimum.
  • Assist in completing all legal responsibilities for CEA CAPA, especially reporting the cessione di fabbricato within the required timeline.

Program Services

  • Perform reception desk duties: answering calls, greeting visitors, handling mail and packages.
  • Assist in organizing, preparing for, and executing student arrivals.
  • Actively participate in Orientation, providing clear explanations of housing standards, rules, and expectations.
  • Serve as the first point of reference for students on resource and general inquiries.
  • Participate consistently in opening and closing routines of the Centers.
  • Participate in all-staff meetings.
  • Liaise with outside vendors as required.
  • Occasionally chaperone local and out-of-town activities, events, and efforts with Florence staff: Student Activities, Excursions.
  • Assist in executing in-house events.
  • Participate in the emergency phone rotation with other staff members.

What Makes a Great Candidate

  • Fluency in spoken and written English and Italian.
  • Authorization to work in Italy.
  • Some experience in a study abroad environment as staff.
  • 2+ years of experience in housing preferred, either in Florence or a university setting.
  • Excellent proficiency in Microsoft Excel.
